How It Works

The AI agent runs on Claude Haiku. When a lead goes from "contacted" to "booked," a second Claude call reviews the entire conversation thread and answers two questions:

  • What specific thing worked to get this lead to book?
  • What was the exact message that triggered the positive response?

That insight gets stored in a learnings table. The 10 most recent learnings get injected into the system prompt for all clinics.

What It's Learned

After the first few weeks across 4 clinics:

  • Direct asks convert fastest. "Are you available today or tomorrow?" beats vague "let me know when works."
  • When leads share their pain story, that's a booking signal. Acknowledge it and pivot to the consult immediately.
  • Persistence matters more than perfection. Some leads need 5 touches over 3 weeks. Then they book.
  • "Just reply YES" dramatically increases response rates. Remove friction from the reply.
  • The proven template ("Hey {name}, are you still dealing with neuropathy? I'd love to do a complimentary call to discuss your case.") outperforms every creative variation the AI tries.

Why This Matters

Most agencies run each client as an island. What they learn at one clinic stays at that clinic.
